Your Records Are Your Shield When paperwork arrives, most people focus only on the letter, but the letter is only one part of the record. The envelope matters. The date it arrived matters. The reference number matters. Your reply matters. The signed-for postage receipt matters. The tracking number matters. The proof of delivery matters. Your timeline matters. If the matter ever needs to be reviewed formally, or taken further through something like the small claims court, you may need to create what is often called a bundle. A bundle is the organised set of documents that shows the full story: what arrived, when it arrived, who sent it, what you sent back, when you sent it, whether it was received, what was answered, what was ignored, and what proof exists. This is why phone calls create problems. If there is no written record, you may be left trying to remember what was said, who said it, and when. Written records are stronger. Before you throw anything away, scan it, photograph it, file it, and log it. Keep the original envelope. Keep the receipt. Keep the proof of delivery. Keep a simple timeline.
